This Privacy Policy explains how Fortitude Essentials™, the trading name of Fortitude Essentials Pty Ltd (ACN 610 628 129, ABN 32 610 628 129) (“we”, “us”, “our”), handles personal information when you visit this website, send us an enquiry, or request or make a booking to stay in our Mobile Access Facility™ (MAF™) Metro.
We are a small business. Whether or not the Privacy Act 1988 (Cth) applies to us at any particular time, we handle personal information in line with the Australian Privacy Principles, and this policy describes what we actually do.
1. What we collect
When you visit the website
- Usage information through Google Analytics 4 (set up through Google Site Kit): the pages you visit, how you arrived, your device and browser type, and your approximate location worked out from your IP address. Google Analytics uses cookies. We see this information in aggregate; it is not used to identify you.
- Security logs. Our security plugin (Wordfence) logs the IP address and requests of every visitor so that it can detect and block attacks on the site.
- Cloudflare. The site is served through Cloudflare, which protects it and speeds it up. Cloudflare processes your IP address and may set a security cookie.
- Google Map. A Google Map is embedded in the footer of every page. When it loads, Google receives your IP address and may set cookies under Google’s own privacy policy.
- Page caching. The site keeps copies of its pages so they load faster. These copies do not contain your personal information.
When you send an enquiry
Our enquiry forms (built with WPForms) ask for your name and email address, and may ask for your organisation, your contact number, your location and your message. Submissions are emailed to our business inbox. They are not stored on the website.
When you request or make a booking
Our booking system (MotoPress Hotel Booking) stores your booking details, including anything you type into the booking form, in the website’s database. For a booking we collect:
- your name, email address, contact number and postal address (for your tax invoice)
- your booking dates, the number of guests, and whether you would like the commode or the spare bed set up
- your vehicle registration, where the host caravan park needs it for its occupancy register
- any set-up preferences you choose to give us, such as bed height or which side of the bed you get in and out of
- the payment details we need for your tax invoice (amount, date and method). Card payments are not currently taken through this website, and we do not store card numbers.
- messages between you and us about the booking
- photographs of the unit and equipment at handover and pack-down, taken to note their condition. They do not include you or your guests.
We do not ask for copies of identity documents.
Third-party booking platforms
If in future we list the unit on a third-party booking platform such as Airbnb, that platform collects your information under its own privacy policy and sends us what we need to host your stay, such as your profile name, booking dates, number of guests and messages. Any availability calendar we share with such a platform contains dates only.
2. Health and disability information
We do not ask for medical or health information, and we ask that you do not send it to us.
Because the unit is designed for accessibility, a booking or a request for the commode may indicate that you or a guest live with disability. We handle any information of that kind as sensitive information. We use it only to set up the unit and equipment you have asked for, we do not share it with anyone except as needed to do that, and we delete it after your stay as described in section 7.
If medical or health details are included in an enquiry, a booking request or a message by mistake, we do not use them, and we delete them from our systems as soon as practicable.
3. How we use your information
We use personal information to:
- answer your enquiry and send you a quote or the next step
- confirm, deliver and set up your booking, and pack down afterwards
- send you booking emails, reminders and handover information
- issue tax invoices and manage payments and any refund
- give the host caravan park the details it needs for its occupancy register and site rules
- keep the unit and equipment safe, including noting their condition
- respond to your questions, complaints or a dispute
- keep the website secure and understand how it is used
- meet our legal, tax and insurance obligations.
4. Who we share it with
We share personal information only as needed for the purposes above:
- Google. Our business email, calendar and file storage run on Google Workspace, and emails from this website are sent through it. Booking emails and booking information are stored there. Calendar entries hold the booking reference, dates and site only. Google Analytics and the embedded map are Google services too.
- Cloudflare, which processes traffic to and from the website.
- The host caravan park, which receives your name, contact details, vehicle registration and booking dates for its occupancy register, as its rules and Western Australian caravan park regulations require.
- Our accountant and our bookkeeping software (Xero), which receive invoice and payment details.
- Our insurer, a solicitor or a regulator, if there is an accident, damage, a claim or a legal requirement to disclose.
- A third-party booking platform, if you book through one (section 1).
We do not sell or rent personal information, and we do not share it for other businesses’ marketing.
5. Cookies and analytics
Cookies are small files placed on your device. This site uses cookies for Google Analytics, for Cloudflare’s security checks, and for the embedded Google Map. The booking system may also set a cookie so that your booking request stays with you as you move between pages.
You can turn cookies off or delete them in your browser settings. If you do, the site still works, but the booking system may not hold your dates between pages. You can opt out of Google Analytics with Google’s opt-out browser add-on.
6. Devices and sensors in the unit
There are no cameras, microphones or recording devices inside the unit.
The unit has automation for the door, power, battery, hot water and climate control. It uses three kinds of sensor, none of which captures images or sound:
- a door access log, which notes door access events (such as when the door is unlocked) so that we can keep the unit secure and help you if you are locked out
- occupancy sensing, which tells the automation whether the unit is occupied so that lighting and climate control work. It does not identify who is present.
- climate sensing, which measures temperature and humidity inside the unit.
The automation sends us system data such as battery level, door status and temperature so that we can keep the unit working and safe. We keep door access data only as long as we need it to keep the unit secure and to resolve any question about your stay, and then delete it.
If we ever fit a security device to the outside of the unit that captures images, we will say so on this page and on any booking listing before your stay.
7. How long we keep information
- Booking, invoice and payment details: seven years, to meet our obligations under company and tax law.
- Set-up preferences, messages and condition photographs: deleted or de-identified within 12 months after your stay, or once any dispute or claim is resolved, whichever is later.
- Any health or disability information given to us: deleted after your stay as described in section 2.
- Enquiries: kept while we deal with your enquiry and for as long as reasonably needed afterwards, then deleted.
- Website security logs: kept for a limited time by the security plugin and Cloudflare, then deleted automatically.
- Analytics data: kept for the retention period set in Google Analytics and reported to us only in aggregate.
8. Overseas disclosure
Some of our service providers, including Google and Cloudflare (and a booking platform such as Airbnb if you book through one), may store information outside Australia, including in the United States. We choose providers that commit to protecting personal information to standards consistent with the Australian Privacy Principles, and we limit what we share with them to what is needed.
9. Keeping information secure
Booking and enquiry information is kept in our Google Workspace account and in the website’s database. The website is protected by a security plugin and Cloudflare, and information is encrypted in transit. Access is limited to the people who need it to manage your enquiry or booking.
If we become aware of a data breach that is likely to cause you serious harm, we will tell you and explain what you can do.
10. Marketing
We do not use your enquiry or booking information for marketing unless you have opted in. You can unsubscribe at any time using the link in any marketing email. We may use photographs of the unit at its site for marketing only if they do not show you, your guests or your belongings, and we will not use your name, image or comments in marketing without your written consent.
11. Access, correction, deletion and complaints
You can ask to see or correct the personal information we hold about you, ask us to delete information we no longer need, or make a privacy complaint, by contacting us through the enquiry form at /enquire-now/ or by post at the address below. We will respond within 30 days.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
12. Changes to this policy
We may update this policy by publishing a new dated version on this page. If we start collecting new kinds of information, or sharing it with new kinds of recipient, we will update this page before we do.
